Q: What exactly is included in the planning package?
A: Your planning package includes concierge-level travel planning for each qualifying team member. This includes destination recommendations, itinerary design, proposal development, booking services, traveler communication, trip documentation, deadline tracking, and ongoing support before and during travel. I’ll also coordinate group elements like shared dining, excursions, or surprise and delight moments, if applicable.

Q: How is pricing determined for each package?
A: Pricing is based on the number of team members traveling, as well as the complexity of the trip. I offer three standard tiers—Small (up to 4 travelers), Medium (5–8), and Large (9+). If your team size changes after planning begins, I may adjust the service fee accordingly to reflect the expanded scope of work.

Q: What happens if we don’t have our qualifiers yet?
A: No problem! We can begin planning the incentive framework (budget, destination, timeline, etc.) while you finalize your qualifying team members. Once your list is ready, I’ll begin direct outreach to each traveler to collect preferences and finalize individual arrangements.

Q: Will you work directly with our team members?
A: Yes! That’s a key benefit of this program. I handle all communications and logistics with each traveler, so you don’t have to coordinate details or answer repetitive questions. I keep you in the loop with summary updates but take the day-to-day planning off your plate.

Q: What if one of our team members has a special request or needs extra help?
A: I’ve got it covered. Whether it’s a room upgrade, food allergy note, mobility assistance, or extended travel dates—each traveler will receive individualized attention. My goal is to ensure a smooth and enjoyable experience for everyone, so they feel valued and excited.

Q: How will I stay updated throughout the process?
A: I’ll send you regular updates at key milestones—such as when travel packages are confirmed, deadlines are approaching, or all bookings are finalized. You’ll always know the status of your program without having to chase down details.

Q: What happens if someone can no longer travel after they’ve qualified?
A: I’ll work with you to determine next steps based on supplier policies and deadlines. In some cases, names can be changed or funds can be applied to future travel. I’ll advocate on your behalf to minimize any disruption.

Q: What if I want to use this again next year?
A: Wonderful! Many of my business clients turn this into an annual tradition. Once we’ve worked together on your first program, future planning is even more seamless. We can begin the process earlier each year to build momentum and excitement.
